Refund & Cancellation Policy

This policy explains how subscription cancellations and refunds are handled for the Clinic AI platform operated by Aurvikon. Payments are processed through Razorpay.

1. Free Trial

  • All new clinics receive a 7-day free trial with full access to all features
  • No payment information is required during the trial period
  • If you do not subscribe to a paid plan before the trial ends, your account will be moved to a limited free tier or suspended
  • No charges are incurred during the trial, so no refund applies

2. Monthly Subscription Cancellation

  • You may cancel your subscription at any time by emailing support@aurvikon.com or through your account dashboard
  • Cancellation takes effect at the end of your current billing cycle
  • You will retain access to all paid features until the end of the period you have already paid for
  • After cancellation takes effect, your account will revert to a limited free tier or be suspended
  • Your data will be retained for 90 days after cancellation, then permanently deleted unless you request earlier deletion

3. Refund Policy

3.1 General Rule

Subscription fees are non-refundable for partial months. Once a billing cycle has started, no pro-rata refund will be issued for the remaining days in that cycle.

3.2 Eligible Refund Scenarios

Refunds may be issued in the following cases only:

  • Duplicate payment: If you were charged more than once for the same billing period due to a technical error
  • Proven technical fault: If a verifiable platform-side technical issue prevented you from using the service for a significant portion of the billing period, and you reported it within 7 days of the charge

3.3 Refund Not Applicable

  • Change of mind after subscription purchase
  • Failure to use the service during the billing period
  • Issues caused by third-party services (WhatsApp outages, internet connectivity, etc.)
  • Account suspension or termination due to violation of our Terms of Service
  • Abusive usage of the platform (spam, policy violations, etc.)

4. How to Request a Refund

To request a refund, send an email to support@aurvikon.com with:

  • Subject line: "Refund Request"
  • Your registered clinic email address
  • Razorpay payment ID or transaction reference (found in your payment receipt)
  • Date and amount of the charge
  • Reason for the refund request with supporting details

5. Processing Timeline

  • We will review your refund request within 3 business days
  • If approved, the refund will be initiated through Razorpay
  • Refunds typically take 5 to 10 business days to reflect in your account, depending on your bank or payment method
  • You will receive an email confirmation once the refund is processed
